Where the Real Cost Is Hiding

The expensive processes in most organisations are not the visible ones. They are the leave request that goes through four inboxes, the purchase approval waiting on someone who is on holiday, the contract stored on a personal drive, and the report that one person assembles by hand every Monday morning.

None of these look like a software problem individually. Collectively they consume a meaningful share of your payroll and they are invisible in every system you already own, because they happen between systems.

A portal makes them explicit: a request has a state, an owner, a deadline and a history. That alone removes most of the chasing, and the reporting comes free once the process is in a system rather than in an inbox.

What We Typically Build

  • Employee portal and intranet with news, directory and resources
  • Leave, expense and purchase request workflows with approvals
  • Document management with versioning and access control
  • Contract lifecycle tracking with renewal reminders
  • Asset and equipment registers
  • Task, project and resource planning
  • Supplier and subcontractor portals
  • Quality, incident and audit records
  • Training records and certification tracking
  • Management dashboards drawing from all of the above

Roles, Permissions and Audit

Enterprise systems live or die on permissions. Who can see a salary, approve above a threshold, view another department, or export the customer list. Getting this wrong is either a security incident or a system nobody trusts enough to use.

We model roles against your actual organisational structure rather than a generic admin-user split, enforce every rule on the server, support delegation for absence, and record an audit trail on every consequential action. When someone asks who approved a payment in March, the answer takes seconds.

Integration and Single Sign-On

A portal that requires yet another password will be used reluctantly. We integrate with your existing identity provider — Microsoft Entra, Google Workspace or LDAP — so people sign in with the account they already have and access is removed automatically when someone leaves.

We also connect to the systems that already hold the data: HR software for the employee list, accounting for cost centres and budgets, ERP for stock and suppliers, and e-mail and calendar for notifications. The portal should reduce the number of places to look, not add one.

Rollout and Adoption

The technical build is rarely what determines success. Adoption is. So we start with the process that annoys people most rather than the one that is easiest to build, because the first module sets whether the rest is welcomed or resisted.

Rollout is staged with a pilot department, adjustments based on what they complain about, then wider release with role-based training and a written guide. We track usage in the first months and fix friction rather than sending reminders about compliance.
