In a hotel, reception phones the housekeeping office to find out which rooms are clean and ready, the room attendant writes a broken air conditioner on paper, and the maintenance team hears about it hours later. On busy arrival days guests wait in the lobby while rooms are actually ready, because the information never arrived. In the system we build, rooms are allocated to attendants automatically based on departures and arrivals from the PMS. The attendant marks the room clean on their phone, the supervisor inspects it and reception sees it instantly; faults are logged with photos, sent to maintenance by priority and tracked until resolved.

Problems we see in hotels
- Room status reaching reception too late
- Uneven workload across room attendants
- Faults stuck on paper and fixed late
- No records for minibar and lost property

How it works day to day
- 1
In the morning the departure and arrival list is pulled from the PMS and rooms are allocated to attendants.
- 2
The attendant cleans the room, completes the checklist and marks it clean.
- 3
The floor supervisor inspects the room and it shows as ready at reception.
- 4
If the attendant spots a fault they log it with a photo and maintenance is notified.
- 5
At the end of the day cleaning times, fault resolution times and staff performance are reported.

Integrations
Off-the-shelf software or custom-built?
When off-the-shelf is enough
For small boutique hotels, the PMS’s built-in housekeeping module is often enough.
When custom software pays off
For multi-storey, multi-building or resort properties that want to measure maintenance and task allocation, a custom system connected to the PMS cuts room turnaround time and guest complaints.
How the budget is built
We launch the workflow that saves you the most time first, then add modules based on real usage. The full scope below is calculated with 18 screens and 10 modules; the final price follows a free discovery call and a written scope.
Maintenance and improvements (optional): €450 / month. Hosting, SMS, WhatsApp and app store fees are listed separately.
Frequently asked questions
Will it integrate with our PMS?
With PMSs that offer an interface or data export, room status and stay information are synced in both directions.
Can room attendants use the app in a different language?
Yes. The app can be multilingual and is designed with a simple, icon-led interface.
Does it work on floors with weak Wi-Fi?
The app records status offline and sends it once the connection returns.
Is guest information shared with staff?
Room attendants see only the room number and necessary notes; guests’ personal data is kept confidential under GDPR.
