On the morning run the question parents ask most is “where is the bus?”, and what worries the school most is whether the child actually got on. Drivers and escorts are phoned constantly, the bus waits in vain for pupils who are not coming, and vehicle and escort documents are kept all over the place. In the app we build, parents see the bus’s live location and an approach alert, and the escort marks each pupil’s boarding and drop-off. Parents can report in advance that their child will not ride that day, and school leadership monitors every bus from one dashboard.

Problems we see at transport operators
- Parents calling constantly to ask where the bus is
- No record of pupils boarding and getting off
- The bus waiting in vain for pupils who are not coming
- Untracked vehicle inspections, insurance and escort documents

How it works day to day
- 1
In the morning the driver starts the run in the app and the route opens.
- 2
As the bus approaches the parent is notified.
- 3
The escort marks each pupil’s boarding and the parent is informed.
- 4
On arrival at school it is confirmed that every pupil got off, and this shows on the school dashboard.
- 5
On the afternoon run home drop-offs are recorded and a trip report is created at the end of the day.

Integrations
Off-the-shelf software or custom-built?
When off-the-shelf is enough
For operators with a few vehicles, ready-made location sharing apps can cover the basic need.
When custom software pays off
For operations with many vehicles serving several schools, or schools that want their own branded app, a custom system combining boarding records and parent communication increases trust and efficiency.
How the budget is built
We launch the workflow that saves you the most time first, then add modules based on real usage. The full scope below is calculated with 18 screens and 9 modules; the final price follows a free discovery call and a written scope.
Maintenance and improvements (optional): €400 / month. Hosting, SMS, WhatsApp and app store fees are listed separately.
Frequently asked questions
Is location tracked all the time?
No. Location is shared only once a run starts and stops when it ends.
Do the vehicles need tracking devices?
No. The driver’s phone is enough, and data can also be pulled from existing GPS devices.
Can the school and the operator use the same system?
Yes. The school monitors all buses while the operator manages its own vehicles and staff.
How is children’s location data protected?
Parents see only their own child’s bus, data is stored encrypted and deleted after a GDPR-compliant retention period.
